Pre-Promotional Examination Requirements (Closed and Open)
Requirements for Pre-Promotion (Closed Examination):
- Pass all courses stated in the curriculum with a minimum GPA of 3.00;
- Present the approval letter from the supervisory team to conduct the exam;
- Have proof of issuance or at least a receipt (accepted) from the journal publisher at least 1 (one) scientific article published in a reputable international journal;
- Registered as a student and paid off tuition fees and all other obligations until the last semester;
- Participated in the postgraduate academic orientation program (proven by PSAP certificate);
- Pass or be declared eligible in the dissertation feasibility examination;
- Pass the English competency that has been determined by the Rector (TOEFL score of at least 500);
- Have no arrears of library books and laboratory equipment;
- Submit a dissertation that has been approved by the supervisory commission with a black cover;
- Registration is carried out no later than 14 (fourteen) calendar days before the day of the pre-promotion examination by submitting a dissertation and dissertation summary that has been signed by the supervisory commission as well as a correction sheet from the examiner at the time of the eligibility examination to the study program.
Pre-promotion (Closed Examination) Procedure:
- Students who have met the requirements register with the academic section of the study program by submitting a dissertation that has been approved by the supervisory commission (the number is in accordance with the number of examiners / appraisers and 1 copy for the study program archives) (no later than 14 days before the examination).
- The study program contacts and requests confirmation of the willingness of the supervisory commission and the examination team.
- The study program sets the exam schedule and proposes the examiner's decree to the dean.
- The study program distributes exam invitations to the examining commission at least 7 days before the exam.
- The technical procedure for the closed examination (D-day) is as follows:
- The examination team enters the examination room.
- Before students are allowed to enter, the chairman of the session asks the members of the Examination Team whether there are things that need to be conveyed regarding the dissertation to be examined.
- After the students were allowed to enter, the chairman of the session opened the examination and then invited the Promoter to introduce the Promovendus to the examination team. The chairman of the session then introduced the examination team and after that invited the promovendus to present his dissertation in a maximum of 20 minutes.
- The Chairperson of the Examination Team invites the examination team to ask questions or rebuttals starting from the external examiner, then continuing with other examiners, co-promoters and ending with the promoter which is determined according to the examiner's seat.
- The examiner provides an assessment that includes aspects of (a) reasoning and argumentation, (b) the scientific weight of the dissertation, (c) methodology, and (d) scientific writing.
- After the exam was over, the promovendus was asked to wait for the exam results outside the courtroom.
- The examination team convenes to determine the outcome of the examination. All examiners expressed their opinions on the results of the examination whether the promovendus passed or not, starting from the Promoter Team then continued with the external examiners, and ended by the chairman of the trial.
- If passed, then each examiner submits the exam score in writing to the chairman of the session to be determined as a closed exam score.
- Students are invited to re-enter the courtroom to receive the exam results.
- Students who are declared to have passed with improvements are told that they are obliged to improve their dissertation within a maximum of 3 months and if it is not improved within this time limit, they must repeat the closed examination, the period of which is determined by the manager.
- Students who are declared not to have passed, are submitted must repeat the closed examination after the dissertation improvement has been approved by the examining team.
- The examination is closed by the Chairperson.
Requirements for Pre-Promotion (Open Exam):
- Pass all courses stated in the curriculum with a minimum GPA of 3.00;
- Pass the pre-promotional examination and improve the dissertation according to the feedback on the pre-promotional examination as evidenced by the signatures of approval from the supervisor and examiner;
- Present the approval letter from the supervisory team to conduct the exam;
- Have proof of publication of 1 (one) scientific paper or receipt (accepted) scientific publication manuscripts from reputable international scientific journals;
- Registered as a student and paid off the tuition fee and all other obligations until the semester of the exam;
- Submit a dissertation that has been approved by the supervisory commission with a black cover with gold ink writing and a correction sheet from the examiner at the time of the pre-promotion examination to the study program;
- Registration is made no later than 14 (fourteen) calendar days before the day of the promotion examination;
- To be held no later than (three) months after the pre-promotion examination and as soon as 2 (two) weeks after passing the promotion examination.
Procedure for Pre-Promotion (Open Examination):
- Students who have met the requirements register with the academic section of the study program by submitting a dissertation that has been approved by the supervisory commission (the number is in accordance with the number of examiners and 1 copy each as an archive of the study program and the Postgraduate Program, no later than 14 days before the examination);
- The study program contacts and requests confirmation of the examiner's availability;
- The study program coordinates with the Postgraduate Program to determine the exam schedule;
- The Postgraduate Program makes an official invitation signed by the Rector, or other designated officials;
- The study program distributes invitations and examination materials (dissertation) and dissertation summaries to examiners (at least 7 days before the examination). The invitation emphasizes that the examination team wears a toga, while the promovendus for men wears a white shirt, tie, and dark suit, while for women wears national clothing (for example kebaya and Lampung tapis cloth);
- The study program extends invitations to universities, institutions, and/or parties deemed necessary;
- The Postgraduate Program together with the study program prepares the place and facilities for the examination: such as the examining panel's hearing table, podium, sound system, invitation chair, examiner transit room, and toga for examiners who do not bring a toga.
- The technical procedure for conducting the promotion/open examination (on the D-Day) is as follows:
- The examination team enters the examination room (examiner attire: toga).
- The chairperson of the session invites the promovendus to enter the examination room (attire: men wear white shirt, tie, and dark suit; women wear kebaya and Lampung tapis cloth).
- Opening of the promotion examination by the chairman of the session.
- The chairman of the session invited the promoter to introduce the promovendus as well as the academic responsibility of the dissertation.
- The chairperson introduces the examination team.
- The chairperson invited the promovendus to present his dissertation for a maximum of 10 minutes.
- The chairperson of the session invites the guest examiner (external) to ask questions or rebuttals, then continues with other examiners, co-promoters and ends with the promoter if there is still time.
- The chairperson temporarily postpones (scores) the examination time to allow the examination team to determine the examination score.
- The chairperson and other examiners left the courtroom to go to a special meeting room to determine the score.
- In determining the grade, the examiners, starting with the promoter, first comment on the examination. After that, the examiners are asked to give the exam grade, with the minimum provision being the same as the closed exam grade by each examiner.
- The examination team returns to the examination room and the chairperson announces the results of the examination including the title of graduation after combining the grades of the course, research proposal seminar, research results seminar, feasibility test, closed examination, and open examination.
- Submission of Certificate of Pass.
- Promoter messages to new doctorates.
- Messages from the chairman to the new doctor.
- Closing the promotion examination by the chairman of the session.
